Senior Vendor Manager

This position will report to the Head of VMO and will play a pivotal role in nurturing and growing the Vendor relationships to maximize the value of the outsourcing partnerships.  The successful candidate will leverage proven relationship, operations, service delivery, and financial management skills to strike a fine balance between quality and cost. Will have direct inputs to shape and to improve the Vendor Management Operating Framework

Essential Duties:-

Duties are listed in order of greatest importance.  The incumbent may be asked to perform other function-related activities in addition to the below mentioned responsibilities as reasonably required by business needs. Designs and implements the Vendor Management framework, including the oversight of the six core pillars: Governance Management, Contract Management, Performance Management, Financial Management, Relationship Management and Vendor Risk Management

Governance Management:-

• Strong knowledge of Outsourcing Lifecycle and VMO Frameworks and established framework / methodology, playbook/SOP, etc.
• Working knowledge of various Vendor Management and Governance Tools
• Manage and Lead internal / external governance forums and required cadence, weekly, monthly, quarterly (QBR), transformation projects / operations meetings, prepare agendas, tracked issues, incidents, actions and develop materials
• Advisor to the BU’s/cross functional teams on industry best practice, partner with Global IT, Procurement, Compliance, Legal Finance & BU’s during transition and steady state
• Develops and maintains metrics reporting schedules and mechanisms
• Ensures that Statements of Work (SOWs) and Standard Operating Procedures (SOPs) are updated and are being reviewed & signed off by respective workstream leaders
• Good knowledge of IT and Corporate Governance

Contract Management:-

• Strong knowledge of sourcing of strategic BPO & IT Vendors, Shared Services, Captives (COE), Vendor consolidation approach and formal vendor selection and evaluation approach (RPI/RFP)
• Ensures that Statements of Work (SOWs) and Standard Operating Procedures (SOPs) are updated and are being reviewed & signed off by respective workstream leaders
• Manage & track deliverables & obligations (MSA, BPA, SOW, CO, WO), contract compliance, contract drafting support & advice, contract training, contract interpretation, contract amendments, deliverable acceptance, negotiate/re-negotiate contracts, disputes, and processes contract changes
• Manage end to end new requests against the contract, provide negotiating levers, facilitate negotiations, provided inputs on business requirements that influence new offerings and change

Performance Management:-

• Conducted month end reviews & approvals of global SLA’s (KPI & CPI), CAPA & exception breach process, SLA baseline, SLA escalation in case of persistent breach, point of escalation for service delivery & performance issues
• Develop and maintain cross-service provider standards, procedures, track, and report end to end SLA’s (KPI/CPI), define joint performance metrics, and improve service mix between multiple service providers, develop, negotiate, draft, and execute Operational Level Agreements
• Ensure vendors meet contractual productivity and optimization
• Partner with Vendors to develop and to implement service improvement plans when delivery results do not meet service level targets and/or minimum stakeholder expectations.
• Validates and verifies calculations of monthly service level reports, ensuring that data is accurate, and results are approved by Tower/Workstream leaders

Financial Management:-

• Strong understanding of various pricing methodologies and models
• Verify rates, volume, invoice, PO creating/charges, recommend payments, track business case, service credits, earn backs, budgeting assistance, forecasting assistance (rolling monthly, quarterly & yearly), monitor & report capacity optimization

Relationship Management:-

• Build strong relationships with Vendors and Internal stakeholders
• Track issues, disputes and bring it to closure/report
• Customer Satisfaction measures and improvements

Vendor Risk Management:-

• Partner Risk Mgt (Register and Action Tracking)
• Third-party Risk Assessments
• Collaborates with Internal Audit to support all vendor-related audit activities
• Plans and participates in Business Continuity Plan (“BCP”) testing
• Takes ownership of day-to-day issues and escalates as necessary
• Strong knowledge of GDPR (General Data Protection and Regulation)

Project/Program Management:-

• End to End project management “Timelines, Scope, Quality, Financial, Milestones”
• PMP/PMI Certification (Good to have)

VMO Systems & Document:-

• Develop process documents, defined access rights, set-up SharePoint, Document repository of all D&O’s,
• “Must Have Implemented or strong working knowledge” of one or more VMO platforms like ARIBA, Enlighta, SironLabs, GovernX, Beeline, Smartsheet, Avasense, Talisma and other systems, processes, policies, and models

Experience:-

• 3- 5 years of relevant experience; or equivalent combination of education, training, and experience
• 3-5 Years of experience working with third-party service providers or managing an Information Technology Outsourcing (ITO), Business Process Outsourcing (BPO), or Knowledge Process Outsourcing (KPO) programs required

Education:-

• Bachelors or master’s degree in one of the following: IT, Finance, Commerce, Business Administration

Other Requirements:-

• Strong MS Office skills, especially Excel and PowerPoint
